Application Terms and Conditions
The IEEE Engineering in Medicine and Biology Society (the Association) reserves the right to accept or reject any offer of sponsorship. In determining sponsorship offers the following terms and conditions will apply to each sponsorship application submitted by an Applicant:
- The Association has a policy not to grant exclusivity to any sponsor for any product/service category or industry. In some cases, undertakings may be given not to allow direct competitors to co-partner events.
- Decisions of the Association’s Board in regard to allocation of all sponsorship and exhibition opportunities will be final and no correspondence will be entered into with unsuccessful Applicants.
- The entitlements set out under each of the sponsorship and exhibition benefits are detailed in the prospectus to which these terms are annexed and constitute the total commitment by the Association to sponsors and advertisers. Any additional requirements may incur additional charges. Sponsorships are not transferrable.
- Sponsorship and/or Exhibition packages will be allocated only on receipt of a signed Booking Form and Booking Terms & Conditions. An email confirmation will then be provided to sponsors and exhibitors to confirm the booking, together with a tax invoice for the required 50% deposit. The deposit is payable 30 days from the date of the tax invoice. The balance is due and payable by 24 April 2023. Applications received after 24 April 2023 must include full payment. Payments for sponsorship of AU$5,000 and under will be required to be paid by credit card and will be charged the full amount following booking.
- If sponsorship and/or exhibition payment is not received by 24 April 2023 you will receive an email notifying you that the authorised credit card supplied on the Booking Form will be charged for the remaining unpaid amount.
- All monies are payable in Australian dollars.
- All prices are quoted inclusive of GST (unless otherwise stated).
- Each Conference 2023 sponsorship level is sold on a first come, first served basis from January 2023, unless sold otherwise.
- Late Bookings are possible, but choices may be limited. Sponsors and exhibitors contracted less than four (4) weeks prior to the conference start date will be charged a 15% surcharge.
- The Conference Manager makes no warranty as to the number of attendees and/or visitors that attend these events.
- Every effort has been made to present, as accurately as possible, all the information contained in this prospectus. The Organising Committee act only to procure and arrange these activities and do not accept responsibility for any act or omission on the part of the service providers. No liability is accepted for any inaccuracy, nor for delay or damage, including personal injury or death, howsoever caused resulting from or arising out of reliance upon any general or specific information published in this proposal. In the event of unforeseen circumstances, the Organising Committee reserves the right to change any or all of these details.
Cancellation Policy
Postponement
In the event of postponement by the Host Organisation, the Sponsorship & Exhibition Managers or the ICC Sydney, all Sponsorship & Exhibition bookings will be carried over to the revised Event dates.
Cancellation by Organisers
In the event of cancellation by the Host Organisation, Sponsorship & Exhibition Managers or the ICC Sydney, all Sponsorship & Exhibition payments will be fully refunded subject to deduction of any credit card or bank fees that the Host or Sponsorship & Exhibition Managers may incur.
COVID-19 implications
Should a Sponsor and/or Exhibitor’s attendance to the Conference be impacted by any restrictions enforced by COVID-19 government-mandated restrictions, the Organising Committee will discuss the available options on a case-by-case basis and come to a mutual agreement with the Sponsor and/or Exhibitor.
Cancellation by Partner
In the event of cancellation by the Sponsor or Exhibitor (other than as a consequence of any COVIID-19 government-mandated restrictions), the following cancellation fees will apply:
(i)More than 91 days prior to the Conference (24 April 2023): 50% of the total payment due will be applicable
(ii) Between 90 and 61 days prior to the Conference (25 April 2023 and 24 May 2023): 70% of the total payment due will be applicable
(iii) From 60 days prior to the Summit (25 May 2023): 100% of the total payment due will be applicable
Should a cancellation be made prior to payment, the appropriate cancellation fee will be applicable, and the Sponsorship & Exhibition Manager will issue an invoice which will be payable within seven (7) days.
